1. Introduction & Agreement Scope

These Terms of Service set out the operational, financial, and administrative framework governing services provided by Asclepieia Hypnotherapy & Wellness Ltd (Company #17167132), operating from The Divergent Space, 6 Victoria St, Skipton, BD23 1JE.

By booking an initial consultation, assessment, or clinical hypnotherapy session, you agree to comply with these terms. These terms operate alongside and complement your signed Informed Consent & Client Agreement, which details specific clinical frameworks, confidentiality boundaries, data handling, and therapeutic commitments.

2. Clinical Scope & Professional Status

• Registered Healthcare Professional: Clinical hypnotherapy services are provided by Christopher Hardy, a Registered Mental Health Nurse (RNMH, NMC PIN 09F0389E) with 20 years of NHS mental health experience.

• Complementary Therapy: Clinical hypnotherapy and emotional wellness interventions are non-diagnostic, educational, and self-regulatory tools. They are designed to complement, not replace, medical treatment, psychiatric care, or prescribed medication provided by primary care physicians (GPs) or other NHS or private healthcare services.

• No Medical Guarantees: Therapeutic success requires active client participation, motivation, and engagement with agreed strategies. While evidence-informed methods are applied to the highest professional standards, specific outcomes cannot be, and are not, guaranteed.

3. Booking, Payment, & Fee Transparency

• Fee Structure: Current session fees, package rates, and consultation charges are published transparently on our website and confirmed prior to booking. There are no hidden fees.

• Payment Terms: Payment for individual sessions or initial consultation assessments are required at the end of each session, unless alternative arrangements have been agreed in writing.

• Package Sessions: Block bookings or packaged programmes must be paid according to the agreed schedule prior to commencement.

4. Cancellation & Rescheduling Policy

We need to operate a strict cancellation policy to manage clinical time efficiently and ensure fairness to all clients awaiting appointments.

Notice Periods & Charges

More than 24 hours' notice

No fee due/full refund or fee transferred to a rescheduled date with no charge.

Less than 24 hours' notice

100% of the session fee charged (or retained from prepaid fees).

Non-attendance ("No Show")

Full session fee payable. No refund or transfer offered.

• How to Cancel or Reschedule: Notice must be provided by emailing hello@asclepieiahypnotherapy.co.uk or calling/texting the practice direct line. Notice is calculated from the time message receipt is logged.

• Exceptional Circumstances: We understand that sudden emergencies occur (e.g., sudden severe illness, bereavement). Cancellation fees may be waived or adjusted at the Clinical Director's sole discretion upon discussion.

5. Practitioner Cancellations & Session Delays

• Practitioner Unavailability: In the rare event that the practitioner must cancel a session due to illness, emergency, or unavoidable circumstances, you will be given as much notice as possible.

• Rescheduling / Cancellation: You will be offered the immediate choice of rescheduling to the earliest available appointment or cancelling the appointment for the affected session at no cost to yourself.

• Punctuality: If you arrive late for an appointment, the session will still conclude at the scheduled time to prevent delays for subsequent clients. The full session fee remains applicable.
  

6. Conduct, Safety, & Refusal of Service

Asclepieia Hypnotherapy & Wellness Ltd reserves the right to suspend, decline, or immediately terminate a session under the following conditions:

1. Substance Use: If a client presents under the influence of alcohol, unprescribed drugs, or intoxicating substances. Full session fees remain payable.

2. Inappropriate Behavior: Verbal abuse, physical aggression, or non-compliance with professional boundaries will result in immediate session termination and potential discharge from the service.

3. Clinical Suitability: If during assessment or treatment the Clinical Director determines that outpatient hypnotherapy is no longer clinically appropriate or safe for your current mental health needs, treatment will be paused and appropriate medical referral/signposting provided.
   

7. Crisis & Emergency Protocols

Outpatient hypnotherapy services are not designed or equipped to provide emergency crisis intervention.

If you experience acute emotional distress or suicidal ideation outside of appointment times, please access emergency support:

• Emergency Services: Call 999 or visit A&E.

• NHS Urgent Care: Call 111.

• Samaritans: Call 116 123 (Free 24/7 helpline).
  

8. Governed Law & Dispute Resolution

These Terms of Service are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms or clinical care provided will be subject to the exclusive jurisdiction of the courts of England and Wales, following the completion of our internal Complaints and Feedback Policy procedures.
